Health Form Update

Good evening campers (on this last night before WAC begins),

I wanted to give you a couple of figures figures:

Number of participants registered for WAC: 684

Number of MISSING or INCOMPLETE Health Forms: 261

It is not too late to submit your health forms for review prior to your session (if you are in Sessions 2-4).  All participants in Session 1 that do not have complete health forms must bring the missing information with them tomorrow.  If you come to camp without the proper health information, I will have to turn you (or your Scout) away and I REALLY do not like to do that.

PLEASE do not email me individual pieces of information.  I have received multiple emails from parents without Pack information and sometimes without even the Scout's name on it.  When this happens I cannot process the information appropriately.  With 261 pieces of information left to accept, please bring as many pieces in a packet to the Scout office as you can.  If you must email, please make sure you label it well.

Remember:  Only 2012 and 2014 forms are accepted for camp and they must have a Tetanus shot date within the last 10 years and a copy of your insurance card (or NONE written in the insurance information section). 

DON'T FORGET YOUR LOCKED BOXES. If you have any scouts that require medication, don't forget your locked box for storage (small inexpensive boxes can be found at WalMart in the business supply section).

WAC Health Officer

Hello campers!

All Health Form information that has been turned into the Council Office or emailed to me as of Friday, June 26th has been reviewed and updated.  I still have a substantial number of health forms that are missing or have certain information missing resulting in the form not being accepted.

If you have not received an email from me saying that all of your forms are complete, you have information outstanding.  I have sent emails with spreadsheets to everyone that has missing information outlining what is needed.  I also have 3 Packs that have not submitted health forms at all.

PLEASE do not wait until you come to camp to bring your health forms.  If there are problems with your health forms at that time, you will NOT be admitted into camp.  This is very important for BSA standards and for safety in general.

New Swim Test Added

My apologies for the delay but we have finally been able to arrange a makeup swim test for the 1 we had to cancel. I've added it to the council website as well but for reference....

So for Swim Test opportunities...

6/28 9:00 - Noon (this Saturday)

7/5 9:00 - Noon (New)

In addition there will also be swim tests on checkin day of all sessions and if you have a BSA Lifeguard from your home unit they can preform the test as well.

I would encourage participants in Sessions 2 & 4 to try and take them in advance if possible as those sessions are very full and lines may get long.

Camp Coordinators,

I hope everyone is getting excited! Camp opens in just 26 days!

A couple of housekeeping items:

  • Please verify the t-shirt sizes are correct on your roster ASAP. As a reminder the online roster is the official source for sizes. It is your responsibility to ensure they are correct, telling the scout shop or handwriting an update on your roster - does not count.
  • Please contact our Camp Commissioner Eileen Fox (efox@carolina.rr.com) if you have any requests regarding campsites and she’ll do her best to fulfill them. If anyone in your contingent would like to camp in their own tents please let her know. We have all of Cub World and the 3 Adirondacks available, but may need to setup some additional tents as necessary depending on campsite capacity for some sessions. (The camp does guarantee everyone will have a roof over their head – don’t worry.)
  • Medical Forms are past due, if you haven’t turned any in please make sure you get them in ASAP. We will hate to do it, but we will turn people away at check-in without forms – please don’t make us be those people.
  • All Payments are due, if you haven’t paid for all or part of your group you are running the risk of having us turn them away at check-in, again please don’t make us those people.

This Weekend's Swim Checks

Due to an unresolved problem with the pool at Belk, the swim checks scheduled for this weekend for WAC has been cancelled.  Please keep checking this board for the date and time of any make up date.  We anticipate having this issue resolved within the next 7-10 days.

Pre-Camp Swim Tests

As a reminder this Saturday is the 1st of the camp sponsored Swim Tests prior to camp. We strongly encourage campers to swim test prior to their camp session to avoid lines on check-in day.

All of you should have received an email from our Chief Health Officer Malinda Cobb, with outstanding questions, issues, missing Health Forms or an email saying your unit is complete.

XXXL - T-Shirts Now Available

Based upon request we have now added XXXL (3xl) shirts to the ordering options.

Please Remember all T-Shirts are Adult Sizes.

If you need to make any adjustments to your sizes please make sure you have them in the system as soon as possible.

Updates to registration site

All,

We have made a few updates to make the online registration portal more user friendly.

- There is now an option to indicate if a Scout is requesting a Campership. Checking the box will now adjust the total on the confirm, showing only $10 is due when making payment to the council and the appropriate grand total. (eliminates the confusion at checkout)

- Extra T-shirts can now be ordered for purchase from your roster ($10 ea, XXL and XXXL $12). Click on an individual name and you can now enter the # of shirts above the 2 provided by camp. This was requested for leaders specifically for leaders that are spliting a session and wanted an additional shirt without having to pay the registration fee)

Camperships - Deadline

While our registration runs through 5/31, the councils deadline for requesting camperships is 4/30. Please ensure any forms are turned into the council office ASAP, even if you have not finalized your registration.

Online Roster/Health Forms

Camp Coordinators,

Please understand that the camp staff relies on you to make sure your online registration is correct, and all health forms are complete. 

The scout shop staff cannot make changes to any part of the registration, you need to make any updates/corrections/changes to your roster online, writing changes on the print out does not correct the registration.

You should have received the link to your roster in an email when you registered - if anyone needs me to resend their link to them please let me know (john.ross@catawba459.org)

Some things you should ensure are correct: 

- T-Shirt sizes: the order will be placed directly from the online system, you need to make sure it is correct.

- Names: If someone has cancelled, and you've replaced that person with someone new it must be reflected on your roster.

- Payment: Your "total fees” on your confirmation should match your receipt from the scout shop - if they do not, you probably need to update your confirmation. * The only exception to this is if you have a

After completing online registration the following are due to the Mecklenburg County Council Office within 7 days.

*   A copy of your online confirmation indicating # of individuals registered and amount due.

*   BSA Health Form rev 2014 (Sections A & B only) for each Youth and Adult attending camp.

*   Full payment. (if paying by check please indicate your Pack # in the memo field)
